Contacts
Every contact record with all standard and custom fields intact.
We extract everything from your Act! CRM into clean, structured Excel workbooks — contacts, companies, groups, subgroups, opportunities, notes, history and tasks. One sheet per record type. Every field. Nothing left behind.
Every record type, in its own sheet
Every sheet keeps its Act! record IDs, so notes still tie back to contacts, opportunities still tie back to companies, and nothing turns into an orphan when it lands in Excel.

One Excel workbook. Eight sheets. Proper headers, real data types, dates that Excel recognises as dates. Click through the tabs below.
Sample data shown for illustration. Your workbook contains your own records, including every custom field on your Act! layout.
Most extractions are delivered within two working days of getting access. Your Act! database stays live and untouched throughout.
Fill in the form with your Act! version, roughly how many contacts you have, and what you need out of it.
We work from a backup copy of your database or a read-only connection. Nothing is written back, nothing is changed.
All eight record types are pulled, structured into sheets and reconciled against the counts in your Act! system.
You get the Excel file plus a reconciliation summary showing record counts per sheet, so you can verify nothing is missing.
Every version from Act! 2008 through Act! Premium and Act! Premium Cloud. We know where the notes live, how subgroup criteria are stored, and which fields the standard export quietly drops.
We never write to your live database. Extraction runs against a backup or a read-only connection, so there is no risk to the system your team is using that same afternoon.
The two things most exports mangle are the ones people care about most. Full note text and complete activity history come out intact, still linked to the right records.
Every workbook ships with a count per sheet checked against your Act! totals. If a number doesn't match, we find out why before you ever see the file.
All of them, in practice — from older Act! 2008–2013 databases through Act! Pro, Act! Premium and Act! Premium Cloud. Older and unsupported versions are routine for us; if you can still open it, or you have a backup, we can get the data out.
Not usually. A backup file is normally enough, and it's our preferred route. Where a live connection is needed, we take read-only access only. We never write to your database.
Yes — complete note text and the full activity history, each row still linked by record ID to the contact, company or opportunity it belongs to. This is the part standard exports typically truncate or flatten, and it's the part we pay the most attention to.
All custom fields on your layout are included as columns on the relevant sheet, using your own field labels rather than the internal database names.
Size isn't the constraint. Very large history tables are split across multiple sheets or delivered as an additional CSV where they'd exceed Excel's row limit, and we'll tell you upfront if that applies to you.
Work is done under NDA. Your data is held encrypted for the duration of the job, access is limited to the engineer working on it, and everything is securely destroyed once you confirm you're happy with the workbook.
Typically two working days from the point we have access. Send us an enquiry and we'll give you a firm answer for your database.
Tell us what you're working with and we'll come back with an honest answer on whether we can help, and a fixed price if we can. Usually within one working day.
